Solving a Common Gravity Forms Frustration: Customising the {admin_email} Notification Address

At Zonkey, we build and manage a lot of websites that use Gravity Forms – it’s one of our go-to tools for creating flexible, powerful forms within WordPress. But over time, we kept running into the same small but frustrating problem…

By default, Gravity Forms uses the {admin_email} merge tag in notification settings. That tag pulls the site’s admin email address – the one defined in your WordPress general settings. For many sites, that’s fine. But for others, especially where the website admin isn’t the same person or team who should receive form submissions, it can cause confusion or missed messages.

We found ourselves manually editing notifications on each form to replace {admin_email} with a different address. And when you manage lots of forms across multiple sites, that gets repetitive fast.

So, we built a plugin to fix it.

A Simple Way to Override {admin_email}

Our GF Admin Email Override plugin adds a new setting inside Gravity Forms. With just a toggle and a single email input field, you can globally override the {admin_email} tag across all your forms.

Once enabled, any notification using {admin_email} will automatically use your specified address instead; no need to manually update every form.

It’s lightweight, easy to use, and built to feel like a native part of Gravity Forms.

Why This Matters

This kind of small improvement can make a big difference, especially for agencies or site owners managing multiple forms, departments, or workflows. It helps ensure form submissions go to the right place and avoids relying on the WordPress admin email, which is often set during site setup and forgotten.

We created this plugin to scratch our own itch, but we know it’s a problem many others face too. That’s why we’ve made it available for anyone to use or build on.
